Config Option: Prevent Users from creating a Placement without a Vacancy

Deciding if Placements can or can't be created without an associated Vacancy

Feature Overview

By default, users have the ability to create a new placement with the +New button without linking it to a vacancy record. Users should never create a placement from scratch. If they do, the vacancy field on the placement is locked by default and can't be filled in, meaning any approval workflow will either result in manual rejection by an approver or be stopped during the placement finalization process.

This non standard configuration prevents users from creating a placement without an associated Vacancy

Defaults and Considerations

The standard process being trained is for users to always create a vacancy first, then fill that vacancy, which will automatically generate the corresponding placement in the system. Allowing users to create new placements not associated to a vacancy could generate invalid placements and unnecessary data.  

To Enable or Amend this Feature

The key configuration decision is whether users should be allowed to create and save a new placement without an associated vacancy.

  • If the answer is No: Inform your Product Consultant (PC), and they will configure the system to make Vacancy a mandatory field on the placement record. This ensures that a placement cannot be saved without a linked vacancy, as the field is locked and cannot be manually populated.
  • If the answer is Yes: No action is required.
